Privacy Policy

DayClose Ghana helps shop owners record sales, stock and who owes them. This policy explains exactly what we collect, why we collect it, and the choices you have. We keep it short and plain.

What we collect

We only collect what is needed to run your shop records:

  • Business profile — your shop name, business type, location and currency.
  • Owner and staff details — name, phone number and email address for each account that can log in.
  • Products and inventory — item names, prices, stock levels and adjustments you enter.
  • Sales — what was sold, the amount, the payment method (cash, MoMo, card, bank, credit) and the date.
  • Customers and debtors — a customer name and phone number when you record credit so you can follow up.
  • Payments — part-payments and settlements you log against a debt.

Why we collect it

This data exists so you can answer the daily questions: how much did I sell, where is my money, what is running low, and who owes me. We use it only to provide the service to you and your staff — to show your daily close, your reports, your stock and your debtor list.

We never hold or move your money

DayClose records money for you — it does not handle it. We are not a bank, a mobile money operator or a payment processor. When you mark a sale as paid by MoMo or cash, that money goes directly between you and your customer. DayClose never holds, transfers, withdraws or has access to your funds. We simply keep the record.

How your data is stored

Your records are stored in a PostgreSQL database. Account passwords are never stored in plain text — they are securely hashed. Login sessions use signed, server-side cookies so they cannot be tampered with.

One-time passwords (OTP)

To confirm it is really you, we send a one-time code by SMS to your phone number or by email to your email address. We use these contacts only to deliver login and verification codes and important account notices — not marketing.

We do not sell your data

We do not sell, rent or trade your data, your customers' data or your sales data to anyone. We do not use it for advertising. Limited service providers (for example our SMS and email delivery providers) process the minimum data needed to send your codes, and nothing more.

How long we keep it

We keep your records for as long as your account is active so your history and reports stay complete. If you ask us to delete your account, we remove your business data within a reasonable period, except where we must keep something to meet a legal obligation.

Your rights

  • Access — view your data at any time inside the app.
  • Export — download your sales, inventory and debtors as CSV files whenever you want.
  • Deletion — request deletion of your account and its data by contacting us.

Security

We protect your account with hashed passwords and signed sessions, and we work to keep the service secure. No system is perfectly safe, so please use a strong password and keep your login private. Tell us immediately if you think your account has been accessed without your permission.
